Booking pages

A link where people pick a free time and book a meeting on your calendar.

Details

  • A booking page is a link, /book/your-link, that you hand to people. They see the times you are free, pick one, leave their name and email, and the meeting is on your calendar with them invited. Pages live under Booking in the sidebar. One person can have up to 25, each with its own link and settings.
  • You say when you take meetings: hours for each weekday, dates with different hours or closed for the day, how much notice you need, how far ahead people can book, free time before and after each meeting, and the most meetings in one day. A page has its own time zone, and guests see the times in theirs.
  • Only free time is offered. A page leaves out the events you made, invitations you have not declined, the calendars you subscribed to, the meetings already booked on any of your pages, and the days you are out of office. Two guests can never get the same time.
  • Out of office and booking work together. While the address a page sends from is out of office, the page offers no times for those days, and its Availability tab shows the period. Turn off Close while out of office to keep a page open anyway.
  • A page either confirms a booking at once or asks you first. When it asks first, the time is held on your calendar as tentative while the guest waits. Accept sends them the invitation. Decline frees the time and tells them, with your reason if you give one.
  • The guest gets a confirmation from your own address with a calendar invitation that Gmail, Outlook and Apple Mail understand, and you get a notice you can reply to. Each email has a private link where the guest can move or cancel the meeting, up to the cut-off you set.
  • A booking is a real calendar event. Move it, cancel it or delete it in the calendar or in a calendar app and the booking follows, and the guest is told once. If the guest declines from their own calendar, the booking is cancelled and the time is free again.
  • You choose what the page says and asks: a name, a description with bold text, lists and links, up to four meeting lengths, a video link, a phone call or an address, your own questions, an accent colour and a light or dark theme. You also set the title and the summary it shows in a browser tab and in search results. Pause a page to stop taking bookings without losing its link.
  • Booking pages are on the REST API under /booking-pages and /bookings, in every SDK as bookings, on the command line as openemail bookings, and on the MCP server, where an agent or the assistant can set a page up, read its open times, and accept, decline or cancel a booking.

Set up a booking page

A booking page takes a minute to make and can be changed at any time. Guests see every change right away.

  1. Open Booking in the sidebar and choose New booking page. Name it, such as Intro call. The link is made from the name unless you type your own.
  2. On Setup, pick the meeting lengths, where the meeting happens, the address the emails come from, and whether a booking is confirmed at once or waits for your answer.
  3. On Availability, set the hours for each weekday, add the dates that differ, and choose the notice you need, the free time around meetings and the limit per day.
  4. On Questions, add anything you want to know before the meeting. Name and email are always asked.
  5. Choose Copy link and send the link to people, or put it in your signature.
  • The link is /book/ followed by the name you chose, in lowercase letters, numbers and dashes. A link is unique across OpenEmail, and changing it breaks the one you already shared.
  • Pause bookings keeps the link working but offers no times. Resume bookings opens the page again.
  • Deleting a page keeps its meetings on your calendar. The list of its bookings goes with it, and guests can no longer move or cancel through the links in their emails.
  • A page that cannot take bookings says why at the top: the address it sends from can no longer send, or no hours are open.
  • A page belongs to the person who made it. Each person can have 25 pages, and nobody else in the workspace sees or changes them.
  • Under Search and browser tab on Setup you set the title and the description the page shows in a browser tab and in search results. Search engines are asked not to list the page until you turn on Let search engines list this page.

What decides the free times

A page starts from the hours you set and takes out everything that makes you busy. What is left is offered to guests.

SettingWhat it does
Weekly hoursThe hours people can book on each weekday, in the time zone of the page. A day can have several ranges, such as a morning and an afternoon.
Dates with different hoursOther hours on one date, or the whole date closed.
Minimum noticeHow soon before a meeting somebody can still book it.
How far aheadThe furthest date people can book.
Free time before and afterA gap kept clear between a booked meeting and anything else on your calendar.
Limit per dayThe most meetings booked through the page on one day.
  • Events you created block their time, unless they are marked as free. An all-day event blocks the whole day.
  • Invitations sent to your addresses block their time unless you declined them. Check all my addresses covers every address you hold, or pick the ones that count.
  • Calendars you subscribed to by link block their time while Calendars I subscribed to is on.
  • Meetings already booked on any of your pages block their time, and so do requests still waiting for your answer.
  • The time is checked again at the moment of booking, so two guests who pick the same time cannot both get it. The second one is asked to pick another.

Booking and out of office

Out of office is set on an address, with a start and an end. A booking page follows the out of office of the address it sends from, so you say when you are away once.

  • While that address is out of office, the page offers no times inside the period. A period with no end date closes the page until out of office is turned off.
  • The Availability tab lists the periods that are running or coming up, with a link to the out of office settings of the address.
  • Close while out of office is on for every new page. Turn it off on a page that should stay open while you are away.
  • A guest who opens the page while you are away is told until when.
  • Meetings booked before you set the period stay booked. Move or cancel them yourself if you will not be there.

Accept, decline and cancel

With Ask me before a booking is confirmed on, each booking arrives as a request. The time is held on your calendar as tentative, so nobody else can take it while you decide.

  1. Open the Bookings tab of the page, or All bookings for every page, and choose Requests.
  2. Accept confirms the meeting and sends the guest the calendar invitation.
  3. Decline frees the time and emails the guest, with your reason if you add one.
  • A request nobody answered before its time came reads Not answered in time, and was never confirmed.
  • Cancel meeting calls off a confirmed meeting. The guest gets the cancellation, and the time is free again.
  • When an email to the guest could not be sent, the booking says so, and Send again tries once more.
  • A booked meeting can also be changed in the calendar or in a calendar app. Moving it tells the guest the new time, and cancelling or deleting it cancels the booking.
  • You get an email about each new, moved and cancelled booking at the address the page sends from, unless you turn off Email me about each booking. Replying to it writes to the guest.
  • A request also shows on the calendar event that holds its time, with Accept and Decline on the event itself. The lists of bookings and the calendar refresh by themselves.

What the guest sees and gets

  • The page shows your name, the description, the meeting lengths and the days with free times, in the time zone of the guest.
  • After picking a time the guest fills in their name, their email and your questions, and books. Nobody needs an account.
  • They get an email from your address: a confirmation with the calendar invitation, or a note that you will answer when the page asks first.
  • Every email has a private link to move or cancel the booking, while you allow it under Changes by guests and until the cut-off you set there.
  • A guest who declines the invitation in their own calendar cancels the booking, and the time is free again.
  • One guest address can hold three upcoming bookings on a page.
  • Picking a time opens the form at once, and the guest can switch between 12 and 24 hour times.
  • The free times refresh by themselves while the page is open, so a time somebody else just took disappears.
  • The address in the browser follows what the guest picks: the meeting length, the day and the time. Copy it to send somebody a link that opens on the same choice.
  • With Guests can add other people turned on, the guest can add as many email addresses as you allow. Each one gets the invitation and every later change from your address, and the booking lists them under Also invited.
  • After a confirmed booking the page offers Add to calendar, for Google, Outlook, Office 365 and a calendar file.
  • A link to your page pasted into a chat or a social app shows the title and the description of the page.

From code, the terminal and agents

Booking pages are in the REST API under /booking-pages and /bookings, in every SDK and in the CLI under bookings, and in the MCP tools, which the assistant uses as well.

  • Reading needs calendar:read. Creating or changing a page and accepting, declining or cancelling a booking need calendar:write and emails:send, because the guest is emailed from your address. Deleting a page needs only calendar:write.
  • A page belongs to one person. An API key acts for the workspace owner and reaches the owner’s pages, and a connected app reaches the pages of the person who connected it. A key or app limited to some addresses cannot use booking pages, because a page reads the whole calendar.
  • GET /booking-pages/{id}/times answers the open times of a page in a window, after the calendar, other bookings and out of office are taken out.
  • In a chat, the assistant asks before it creates, changes or deletes a page and before it accepts, declines or cancels a booking.
