Send to an audience

One email to everybody in an audience, a separate copy for each person, with their own name in it.

Details

  • Start a new message and type an audience’s name in To, or open Audience beside Cc and Bcc and tick up to ten audiences. Send email on an audience’s own page opens the composer with that audience already chosen. Somebody in more than one of the audiences you picked gets one copy.
  • Every person gets a copy of their own, addressed to them alone, so nobody sees who else it went to. Under To the composer counts how many people it will reach and how many are skipped, and Send asks once more, showing that count with the sender, the subject and when it goes. While an audience is chosen, individual addresses, Cc and Bcc step aside, and they come back if you remove every audience. Replies and forwards always go to people, never to an audience.
  • Personalise, in the composer’s tool row, puts a field where your cursor is, in the subject or in the body: first name, last name, full name, email address or an unsubscribe link. A field is written like {{firstName|there}}, and the word after the bar is used for a contact with nothing to fill it, so a contact saved without a name reads Hi there. The first name is the first word of the name saved on the contact and the last name is the rest of it.
  • A template works too. Pick one with Templates, and its props named firstName, lastName, name, email or unsubscribeUrl are filled in for each person, while everything else you fill in goes to every copy alike. With a template chosen, Personalise fills in the subject.
  • Every copy carries an unsubscribe link that mail apps show as their own Unsubscribe button, and one click there unsubscribes the person straight away. A body without an unsubscribe link of its own gets a short line at the end: You are receiving this because you are on this mailing list. Unsubscribe. That link opens a page with an Unsubscribe button, so a link checker that opens it unsubscribes nobody. A template is sent as it is, so give it an unsubscribe link of its own.
  • Somebody who unsubscribes is marked unsubscribed in every audience that email went to, and later sends to those audiences skip them. They stay in the audience, with an Unsubscribed badge on its page, and in your contacts, their other audiences are left alone, and mail you write to them yourself still reaches them. Removing them from the audience and adding them back subscribes them again, so do that only when they ask.
  • Skipped: anybody who unsubscribed from every chosen audience they are in, and any address on the suppression list, Blocked addresses in Settings, which holds hard bounces, complaints and addresses added by hand. Somebody added to one of the audiences after you press Send, but before the sending reaches them, is included. A member other than the workspace owner reaches only the contacts they added and sees only their own sends.
  • Schedule works as on any message: pick a time up to a year ahead and the send starts then. Until it starts it can be cancelled, and then nothing goes out.
  • The send goes out in the background, fifty people at a time, and the composer closes as soon as you confirm. The Sends tab of the audience lists every send to it, newest first, with its status (scheduled, queued, sending, sent, cancelled or failed) and how many copies were sent, are waiting, failed or were skipped, and it refreshes itself while a send is going out. Cancel send there, or Cancel on the notice that appears after you send, stops every copy that has not gone yet. Copies already sent cannot be recalled.
  • The copies are not filed in your Sent folder, one per person: the send on the Sends tab is the record. Each copy is still an ordinary message with its own tracking and webhooks.
  • The whole send is checked against your plan’s monthly sends before anything goes out, and each copy counts as one send. A send your plan cannot cover is refused at once, rather than stopping part way through the list.
  • An audience send leaves out attachments, Cc, Bcc, translation and encryption, which are switched off in the composer while an audience is chosen, so put a link to a file in the body instead. There is no undo send, but copies that have not gone yet can be cancelled. Unless you send a template, the signature or footer of the address you send from goes on every copy, above the unsubscribe line.
  • The same sending is on the API as POST /broadcasts, on the SDK as broadcasts.send and on the MCP server as sendToAudience, each with a preview that counts who a send would reach. The assistant in the app always asks before it sends to an audience.
