Outlook
Add an address to the new and classic Outlook for Windows, to Outlook for Mac and to the Outlook app on iPhone and Android, as an IMAP account.
Before you start
- You need an app password for the address, made in the Passwords view of its Mail apps tab under Settings → Addresses, or a setup link someone emailed you.
- Outlook adds the address as an IMAP account. Choose IMAP wherever Outlook asks what kind of account it is.
- The new Outlook for Windows and the Outlook app on phones sync IMAP accounts through Microsoft’s cloud, so Microsoft holds a copy of the mail and the app password. Revoke the password in OpenEmail when you stop using Outlook.
The new Outlook for Windows
- Open Settings, then Accounts, then Email accounts, and choose Add account.
- Enter the address and choose Continue. If Outlook lists providers, choose IMAP.
- Enter the app password. If Outlook cannot find the servers, choose Show more and fill in the fields as in the table below.
- Choose Continue. Outlook may say it will sync the account through the Microsoft Cloud. Choose Continue again to finish.
| Field | What to enter |
|---|---|
| IMAP username | The whole address |
| IMAP password | The app password |
| IMAP incoming server | imap.openemail.uk, port 993 |
| SMTP username | The whole address |
| SMTP password | The app password |
| SMTP outgoing server | smtp.openemail.uk, port 465 |
| Secure connection type | SSL/TLS, for both servers |
Classic Outlook for Windows
- Choose File, then Add Account.
- Enter the address, open Advanced options, tick Let me set up my account manually and choose Connect.
- Choose IMAP.
- Under Incoming mail, enter Server
imap.openemail.uk, Port 993 and Encryption method SSL/TLS. Under Outgoing mail, enter Serversmtp.openemail.uk, Port 465 and Encryption method SSL/TLS. - Leave Require logon using Secure Password Authentication (SPA) off for both, and choose Next.
- Enter the app password and choose Connect, then Done.
- If Outlook receives but cannot send, open File, Account Settings, Server Settings, and make sure the outgoing server signs in with the same user name and password as the incoming one.
- Leave Root folder path, in the advanced settings of the account, empty.
Outlook for Mac
- Choose Outlook, then Settings, then Accounts, then the plus button and New Account.
- Enter the address and choose Continue. When Outlook asks for the provider, choose IMAP/POP.
- Set Type to IMAP, fill in the incoming and outgoing servers as in the table below and choose Add Account.
| Field | What to enter |
|---|---|
| Incoming server | imap.openemail.uk, port 993 |
| Outgoing server | smtp.openemail.uk, port 465 |
| User name | The whole address, for both servers |
| Password | The app password, for both servers |
| Use SSL to connect | On, for both servers |
The Outlook app on iPhone and Android
- Open Settings in the Outlook app and choose Add Mail Account, then Add Email Account.
- Enter the address and choose Continue. If Outlook asks what kind of account it is, choose IMAP.
- Turn on Advanced Settings and fill in the IMAP and SMTP host names, usernames and passwords:
imap.openemail.ukandsmtp.openemail.uk, the whole address and the app password. - Tap Sign In, or the tick, to finish.
If the account does not connect, add the port after each host name: imap.openemail.uk:993 and smtp.openemail.uk:465.
Folders in Outlook
- Outlook’s own folder names, such as Sent Items, Deleted Items and Junk Email, are matched to the Sent, Trash and Spam folders rather than created as new folders.
- Archive in Outlook files the conversation in Archive, the same as archiving it in OpenEmail.
- Every label of the workspace shows as a folder, and a folder made in Outlook becomes a label for everyone in the workspace.
If it does not work
- Outlook keeps asking for the password: check that the username is the whole address and that the password is an app password, not the password of your OpenEmail account.
- Outlook cannot connect, or offers only STARTTLS or port 587: OpenEmail accepts SSL/TLS only, on ports 993 and 465. Choose SSL/TLS, sometimes labelled SSL, and set the ports by hand.
- The app asks for the password again and again: the password was revoked, or sign-ins paused for up to 15 minutes after too many wrong passwords. Correct the password in the app, then wait before trying again.
