Mail on iPhone and iPad
Add an address to the Mail app on an iPhone or iPad with the profile or by hand, then choose how it files and fetches mail.
Before you start
- You need an app password for the address, made in the Passwords view of its Mail apps tab under Settings → Addresses, or a setup link someone emailed you.
- These steps follow iOS and iPadOS 18 and later. On older versions, Mail sits straight under Settings rather than under Apps, and Mail Accounts is called Accounts.
- The profile is the quickest way, because it fills in every field. Adding the account by hand works just as well and shows you each setting.
Set it up with the profile
The profile is a small file that adds the address to Mail with every setting and the password filled in. It adds the calendar to Calendar too and, unless the password came from a setup link, the contacts to Contacts.
- Where the new app password is shown, on the Mail apps tab or on the page a setup link opens, choose Download for Apple devices. Do it in Safari on the iPhone or iPad itself, or download the file on a Mac and send it to the device with AirDrop.
- If Safari asks whether to allow a configuration profile, choose Allow, then Close.
- Open Settings and tap Profile Downloaded near the top. If it is not there, open General, then VPN & Device Management, and tap the profile under Downloaded Profile.
- Tap Install, enter the device passcode and confirm with Install until iOS says the profile is installed, then tap Done. It shows as Not Verified because it is not signed, which is expected.
- Open Mail. The address is listed under Mailboxes, and its folders follow as they download.
- Install the profile soon after downloading it. iOS discards a downloaded profile that is not installed within about eight minutes, and you then download it again.
- The file holds the password. If you downloaded it on a computer to send it over, delete it there once it is installed.
- Everything the profile added belongs to it. Removing the profile under General, then VPN & Device Management, removes the account, its calendar and its contacts together.
- The profile adds only what is switched on for the address: the mail account needs IMAP and SMTP, the calendar CalDAV and the contacts CardDAV.
Set it up by hand
- Open Settings, then Apps, then Mail.
- Tap Mail Accounts, then Add Account, then Other, then Add Mail Account.
- Fill in Name, Email, Password and Description as in the table below, then tap Next.
- Choose IMAP at the top of the next screen.
- Fill in Incoming Mail Server and Outgoing Mail Server as in the table. The outgoing User Name and Password are marked Optional, but OpenEmail needs both to send.
- Tap Next. iOS checks both servers, which takes a few seconds. Leave Mail on, turn Notes off and tap Save.

Notes keeps its notes in a folder on the mail server, and every folder there is a label. Leave Notes off, or a Notes label appears for the whole workspace.
Check the ports and encryption
iOS normally finds the ports by itself. If it cannot verify the account, or sending fails later, set them by hand.
- Open Settings, then Apps, Mail, Mail Accounts, and tap the account. Tap Account, then Advanced.
- Under Incoming Settings, turn Use SSL on, set Authentication to Password, leave IMAP Path Prefix empty and set Server Port to 993.
- Go back to Account and tap SMTP, then the
smtp.openemail.ukserver under Primary Server. Turn Use SSL on, set Authentication to Password and Server Port to 465, then tap Done. - Tap Done on the Account screen to save.
Match the mailboxes
Mail recognises Sent, Drafts, Archive and Trash by itself. To check them, or to choose what a swipe does:
- Open the account under Settings, Apps, Mail, Mail Accounts, then tap Account, then Advanced.
- Under Mailbox Behaviors, set Drafts Mailbox to Drafts, Sent Mailbox to Sent, Deleted Mailbox to Trash and Archive Mailbox to Archive, each from the On the Server list.
- Under Move Discarded Messages Into, choose Archive Mailbox to archive with a swipe, or Deleted Mailbox to move mail to Trash, which is Bin in OpenEmail.
- Either way, OpenEmail moves the whole conversation, not only the message you swiped.
- Under Deleted Messages, Remove sets when Mail empties Trash. Whatever it empties is deleted for good in OpenEmail as well, so choose Never if you would rather empty Bin yourself.
How new mail arrives
- While Mail is open, it keeps a connection to the server, and new mail shows within about 20 seconds.
- In the background, iOS fetches the address on a schedule rather than having it pushed. Choose how often under Settings, Apps, Mail, Mail Accounts, Fetch New Data.
- Pull down on a mailbox to check straight away.
Add the calendar by hand
The profile adds the calendar for you. Added by hand, the calendar is an account of its own under Settings, Apps, Calendar, Calendar Accounts, with the same address and app password.
Remove the account
- Added by hand: open Settings, then Apps, Mail, Mail Accounts, tap the account and choose Delete Account.
- Added by the profile: remove the profile under Settings, then General, VPN & Device Management.
- Then revoke its app password in the Passwords view of the address’s Mail apps tab, so it stops working everywhere.
If it does not work
- Mail says the user name or password is incorrect: the User Name must be the whole address on both servers, and the password an app password that has not been revoked. The password of your OpenEmail account does not work here.
- Mail cannot connect at all: check that Use SSL is on, with ports 993 and 465. Some workplace and hotel networks block those ports, so try once on mobile data.
- Mail receives but cannot send: open the SMTP server and check that User Name and Password are filled in, Use SSL is on and the port is 465.
- The app asks for the password again and again: the password was revoked, or sign-ins paused for up to 15 minutes after too many wrong passwords. Correct the password in the app, then wait before trying again.
